* Islamic dates are estimates and depend on moonsighting. Confirmed dates are announced by Quba Masjid and emailed to parents.

Before you book travel: term-time absence is not authorised and fees are not reduced for it. Please speak to the Head Teacher before booking.

Your child is enrolled on one shift for the whole year. Shifts can't be swapped mid-term without the Head Teacher's written agreement, because classes are grouped by level and space is limited.

Ramadan arrangements

In the first two weeks of Ramadan, weekday shifts move to weekend sessions and weekend shifts are shortened. The Academy closes for the last ten nights and Eid al-Fitr. The confirmed timetable is sent at least two weeks before Ramadan.

Evening shifts pray Maghrib in congregation, so please send your child in wudu where possible.

The fee is an annual fee split into eleven equal payments, September to July. It doesn't change with your child's start date, shift or the number of sessions in a month, and it isn't reduced for holidays, Eid breaks, INSET days, illness or travel. Please set up a standing order to arrive by the 5th of each month, using your FAMID as the reference.

If fees fall two months behind without an agreement, the place may be suspended, but we always write to you first. If money is difficult, please speak to the admin office in confidence. No child should lose their place over money without talking to us.

Reporting an absence

Tell the office before the session starts, with your child's name, class and the reason. Illness, unavoidable appointments and bereavement are usually authorised. Holidays, social events and tiredness are not.

Planned absence

Ask the Head Teacher in writing at least two weeks ahead. Approval is not automatic, and fees remain payable.

The two week rule. A pupil absent for two weeks in a row without notice will have their place reviewed, and it may be offered to a child on the waiting list.

After three late marks or three absences in a half-term, the office will contact you. If the pattern continues, the Head Teacher writes to you, then arranges an attendance meeting, and finally reviews the place.

Homework and Learning at Home

Homework is set every session and is short by design. Twenty minutes a day, six days a week, adds up to over 100 hours of extra practice a year.

Nooraniyah

10 to 15 min

Read the current page aloud to an adult, three to five times.

Tilawah 1 to 3

15 to 20 min

Read the assigned surah aloud and practise joining words.

Tilawah 4

20 to 30 min

Prepare sabaq and revise the previous portion.

Level 5 and Hifz

45 to 60 min

Sabaq, sabqi and manzil as set by the Hifz teacher.

Islamic Studies

Weekly

Workbook pages, du'a memorisation and short research tasks.

Set a fixed time each day for Qur'an, listen even if you can't correct the recitation, sign the homework diary each week, and keep phones away from the study space.

Behaviour

Behaviour at Quba Academy is built on adab, the manners the Prophet ﷺ taught, with clear rules and a strong partnership with parents. We praise good conduct far more often than we sanction poor conduct.

Never tolerated: aggression, verbal abuse or discriminatory language, bullying of any kind including online, disrespect towards the Qur'an or the masjid, damage or theft, leaving the site without permission, and prohibited items.

The five disciplinary stages

    Verbal warning

    The teacher explains what was wrong and what must change. Recorded in the class log.

  2. 2

    Written warning

    Issued by the Head Teacher and sent home, with the improvement required.

  3. 3

    Behaviour meeting

    A meeting with parents. The student signs a behaviour agreement with targets and a review date.

  4. 4

    Suspension

    Up to one week, with work set and a meeting before the student returns.

  5. 5

    Permanent exclusion

    The final stage, decided by the Head Teacher with the trustees. Parents may appeal in writing within 14 days.

Almost every issue is resolved at stage 1 or 2. Warnings are reviewed each half-term. We never withhold a child's Qur'an lesson as a punishment, and we don't use collective punishment or public shaming.

If your child is being bullied

Tell the class teacher or the Head Teacher straight away. We investigate within five working days, tell you the outcome, and support your child afterwards. Please don't approach another family or their child directly.

Conduct

Mobile Phones and Devices

Phones, smart watches, tablets and earphones must be switched off and out of sight from arrival until home time. If your child needs a phone for the journey, it's handed to the teacher at the start and collected at the end.

Strictly prohibited: taking photos, video or audio anywhere on Academy or masjid premises. This is a safeguarding matter.

First time

Kept for the session and returned at the end.

Second time

Returned only to a parent, with a note home.

Third time

Parent meeting, and the student may not bring a device.

Also not allowed on site: knives, lighters, vapes and tobacco, laser pens, aerosols, energy drinks, chewing gum, and nuts.

Class rules
  1. Enter the masjid with your right foot and read the du'a.
  2. Pray two rak'ah, then sit in your place.
  3. Take out your books and your Qur'an or Nooraniyah.
  4. Wear your full uniform.
  5. Begin reading your lesson straight away.
What to bring, and what's not allowed

Bring a Qur'an or Qa'idah, Islamic Studies textbook and workbook, homework diary, pencil case and a named water bottle, in a clean bag. Not allowed: jewellery beyond a plain watch, make-up or nail polish, slogan clothing over the uniform, footwear in the prayer hall, hoods indoors, and strong perfume or aerosols.

If the cost of uniform is a difficulty, please speak to the office in confidence.

Safeguarding and Child Protection

The welfare of every child is our first priority. Every member of staff and every volunteer holds an enhanced DBS check and safeguarding training. Adults are never left alone with an individual child, and staff never contact students privately.

If you're worried about a child

Speak to the Safeguarding Lead; you don't need to be certain. If a child is in immediate danger, call 999. You can always contact Hillingdon Children's Services or the NSPCC Helpline on 0808 800 5000 directly.

Safety

Health, Medical and Food

We are a nut-aware site. Please don't send nuts or anything containing nuts. Energy drinks, fizzy drinks, sweets and chewing gum aren't allowed. Send a named water bottle and a small healthy snack.

  • Tell us about any medical condition, allergy, disability or medication, and keep it up to date.
  • Inhalers and auto-injectors must come to every session, labelled with your child's name.
  • Staff only give medication when a written parental consent form is in place.
  • A trained first aider is on site every session. We call you for any injury beyond a minor graze, and always for a head injury.
  • Keep your child at home if unwell, or after sickness, diarrhoea or a fever in the last 48 hours.
  • We welcome students with additional needs. Tell us early and share any EHCP or support plan.

Our staff speak several community languages. Just ask if you'd like a conversation in Somali, Arabic, Urdu or Bengali.

Safety

Arrival, Home Time and Collection

Please don't drive through the Masjid grounds at home time. Wait in the waiting area in front of the Masjid and follow the one-way system. Classes are released in turn.

  2. 2Children are only released to a parent or an authorised person on file. Tell the office in advance about anyone else.
  3. 3Students in Year 7 and above may leave alone only with recorded parent permission.
  4. 4Collection more than 15 minutes late is treated like persistent lateness.

Please don't block driveways, loading bays or business entrances on Golden Crescent, park on double yellow lines, or leave engines idling.

Photography and Data

Photo consent

You choose on the registration form and can change it any time in writing. Without consent, your child never appears in published images, and we never publish a child's full name with a photo. At ceremonies, please photograph only your own child.

Your data

We hold only what we need to teach and look after your child, and never share it for marketing. Read the Privacy Notice for the details and your rights.

Complaints

    Talk to the teacher

    Raise it through the admin office. Most matters are resolved within five working days.

    Write to the Head Teacher

    Say what happened and what you'd like. Acknowledged in five working days, full reply within fifteen.

  3. 3

    Appeal to the Director

    Within fourteen days of the reply. The Director responds within twenty working days, and this is final.

Email info@qubaacademy.com with your name, your child's name and class, and a phone number. Raising a complaint never disadvantages your child. Please don't raise complaints on WhatsApp groups or social media. Safeguarding concerns go straight to the Safeguarding Lead.

Admissions, Withdrawal and Notice

Getting a place

Places depend on space on the requested shift and an initial assessment. Siblings of current students and local families have priority. If a shift is full, your child joins the waiting list. A place is confirmed once registration is complete and the first standing order is set up.

Changing shift

Shift changes depend on space in a class at the right level, and must be requested in writing to the Head Teacher.

Leaving the Academy

Give one calendar month's written notice. Fees are payable during the notice period, so cancel your standing order only after it ends. We can provide a summary of your child's progress and level for their next madrasah.

When a place may be withdrawn

After two weeks' absence without notice, unpaid fees without an agreement, the final disciplinary stage, or a parent's conduct towards staff. In every case we write to you first, with the reasons and a chance to respond.
